This Privacy Policy explains how the Pan-African Center for Empowerment (“PACE”, “we”, “us”) handles information in connection with the PACE Chief of Staff, an invite-only assistant that authorized staff reach by SMS text message, WhatsApp, voice note, and email. By using the service you agree to this policy.
Information we collect
- Identity & contact details an administrator enters to authorize you: name, work email address, and mobile phone number.
- The content of messages you send to and receive from the assistant across SMS, WhatsApp, voice note, and email, so it can carry out your requests.
- Operational data you ask the assistant to act on through connected accounts you authorize (e.g. your mailbox, calendar, or Calendly).
SMS / text messaging
Authorized users receive SMS and WhatsApp messages from the assistant: approval requests (e.g. confirming an email before it is sent), task confirmations, calendar notifications, inbox summaries, and periodic cost or status reports. Message frequency varies with your activity. Message and data rates may apply.
You can opt out at any time by replying STOP; you will receive no further messages. Reply HELP for help, or contact us at ops@getonpace.org.
No mobile information is sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Mobile opt-in data and consent are never shared with any third party.
How we use information
- To authenticate you and operate the assistant on your behalf — drafting and sending email from your own mailbox, managing your calendar, and the other capabilities of your access tier.
- To send the service messages described above, each gated by your explicit approval before any outbound third-party send.
- To secure, maintain, and improve the service.
How information is shared
We use service providers strictly to operate the assistant — including Twilio (messaging), Google Workspace (mail and calendar), and the AI providers that generate drafts. They process data only to provide their service to us. We do not sell your information. We disclose information only as required by law.
Google user data & Limited Use
The assistant connects to Google Workspace and other Google APIs that you or your administrator authorize, and acts on your behalf. Depending on your access tier, this may include:
- Gmail — read and organize your inbox, and draft replies; email is sent from your own mailbox only after your explicit approval.
- Google Calendar — view and manage your events, attendees, and invitations at your request.
- Google Drive — maintain a searchable archive of your own cleared email in your Drive.
- Google Contacts (People API) — save and look up your contacts (e.g. from a business card you share).
- Google Ads — report on and manage the organization’s Google Ad Grants account; changes are made only after your approval.
PACE’s use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google user data only to provide and improve the features you authorize above — never for advertising.
- We do not sell Google user data, and we do not transfer it to others except as needed to provide these features (e.g. our AI providers, which process the content solely to generate the output you request and not for their own purposes), to comply with applicable law, or as part of a merger or acquisition with prior notice.
- We do not allow humans to read your Google user data unless you give explicit consent (for example, to troubleshoot an issue), it is necessary for security or to comply with law, or the data has been aggregated and anonymized.
- We do not use Google user data to train generalized or third-party AI/ML models.
- You can revoke the assistant’s access at any time from your Google Account permissions, and an administrator can remove your access.
Retention & security
We retain information for as long as your access is active and as needed to provide the service, then delete or anonymize it. Access is restricted to authorized personnel and protected by industry-standard safeguards; unrecognized senders are ignored by the assistant.
Your choices
You may request access to, correction of, or deletion of your information, and you may opt out of messaging as described above. Contact ops@getonpace.org and an administrator can also suspend or remove your access.
