It tracks dependencies and blockers, and who to notify when a task is done — so when a blocker clears, the people waiting on it hear about it in their daily update.
SecretaryYour email and calendar — drafts replies in your voice, and manages your Google Calendar directly: creates events with attendees, adds or removes guests, changes the time or location, cancels. Tell it who and when (“schedule a 30-min review with jane@acme.com Thursday at 2pm”) and it puts it on your calendar for a one-tap YES; when you and someone confirm a time by email it offers to create the invite. Calendly is only for sending an external party a link to pick a time. Send it a business-card photo or screenshot and it saves the contact and can draft a follow-up. Send it a flight or travel itinerary screenshot and it adds every leg to your calendar — each in the right local time zone (departure vs. arrival city) and honoring overnight arrivals. Everyone has it.
StrategyYour strategic thought partner. Think out loud with it about direction, positioning, bets, and priorities — it reasons back with real options, trade-offs, risks, and next moves, grounded in our mission (the Elder) and your own notes (Knowledge). Point it at a Coda doc and it reads it first. When you say “capture that,” it writes the thinking into a private “GarV Strategy” doc in your Coda “My docs” — your personal ideation sandbox, so it never disturbs shared files. Each topic builds up over time; you move anything worth sharing into a shared doc yourself.

The Elder — historical knowledgeKeeper of PACE’s ideology, history, and Pan-African scholarship. Community-facing work is grounded in our people’s history through here. Available to everyone — you can also ask it directly (“ask the elder: what’s our mission?”). Admins feed it new knowledge from the portal: upload PDFs/documents to train the Elder, and track Coda docs so the knowledge base follows your edits.
Analyst — audit trailEvery request is logged to an audit trail: who asked, what ran, whether it succeeded, and what it cost. That gives a complete, queryable record of the system’s activity, surfaced to admins in reports.

Drafts and pipeline only — nothing launches or sends automatically.
DonationsUnder Capital Planning — the individual-giving lane. Runs a donor CRM (individuals + foundations) that auto-syncs your existing Givebutter donors with the full picture — which program they gave to, when, whether it’s recurring, lifetime total. It sorts donors into a lifecycle (Prospect → Cultivation → Solicitation → Stewardship, plus Lapsed) and gates comms accordingly: it won’t draft a thank-you to a prospect who hasn’t given, or a fresh ask to someone who just gave — it proposes the right message instead. Drafts warm gift acknowledgements and annual-fund / major-gift / planned-giving appeals (drafts only), and drafts official tax receipts — on your YES it exports the Coda receipt as a PDF and emails it to the donor as an attachment (identical to the document we keep on file, so they can save/print it for their records), then marks it Sent.
GrantsUnder Capital Planning — the institutional lane. Runs a grant-research pipeline that surfaces open opportunities matched to PACE: federal grants from Grants.gov (the official portal) plus web finds it verifies are still open and directly applyable on the funder’s own site — all logged to the PACE Grant DB. Send it a grant you found — a link, a photo/screenshot, or a few typed details — and it reads it (photos included), extracts the grantor, title, deadline, amount, and apply link, checks it isn’t already tracked, and adds the row — replying with a link to it. Drafts complete applications grounded in our knowledge and the Elder, answering each question and improving on our initial responses, and returns a real link for your review. It gets better every time: before you see a draft it self-scores against a rubric and revises once, and after you submit it learns from the difference between its draft and your final version — banking reusable lessons (a grant-writing playbook you can review) and facts, weighted by what wins. It can also submit to the funder’s portal — but only on your YES, and it hands you the apply link + final answers when a portal needs you to finish.
Ads ManagerUnder Marketing — runs the Google Ad Grants account (~$10k/mo in credits) against each program’s core keywords. Reports spend against the credit, campaign and keyword performance, and Ad-Grants health. It knows the Ad Grants rules and applies them automatically — only specific multi-word keywords (never single words), the $2 max-CPC / 5% CTR requirements, search-only — so what it creates stays approved. Manages the account too (pause/enable campaigns, budgets, keywords), every change proposed for your YES first.
Analytics ManagerUnder Marketing — Google Analytics (GA4) for every program website. Reports traffic per site (sessions, users, pageviews, conversions, top pages and sources) and powers the Admin → Analytics dashboard. To set up tracking it hands the Web Manager the GA tag to install on that site. (Different from the Analyst, which reports AI cost & ops.)
Web ManagerUnder Marketing — manages our Framer website(s). Supports multiple program sites (each with its own project + key); name a site in the request or it uses the primary. Any agent that needs a site change (marketing content, an ads landing page, a program update) routes it through Marketing to the Web Manager, which makes the edit via Framer’s own site-editing agent. It also installs the Google Ads conversion tag across all sites. Edits stage in the project; publishing to the live site needs your YES.
Comms ManagerWrites documents and email campaigns; directs its own tool specialists (Coda / Google Docs, decks, Mailchimp, Kit).
Content ManagerOwns content plans and production across the website, YouTube, LinkedIn, Instagram, TikTok, and Substack. Plans and assigns in one step and tracks each piece through the pipeline (planned → assigned → in-production → review → published).

Inbox zero, without losing what matters

GarV keeps your inbox clear and surfaces only what needs you. Every cleanup — the automatic ones and the ones you trigger — runs the same safe, reversible path, so a big delete never means a lost email.

1 · Clears the noise

Promotions, social, updates

GarV automatically clears the noise categories to Trash, and rescues anything that matters — from someone you know, or that needs an action or a reply — into your Primary inbox, starred. Noise mail sits in your inbox for 48 hours first, so you always have a chance to catch something before it’s swept. A star always means keep — GarV never touches starred mail.

2 · Bulk delete, controlled

Clear old mail by date

From your portal, clear everything before a date you choose — to denoise in phases. You see the exact count first and can protect starred or important mail. Whether automatic or on-demand, everything deleted is just moved to Trash, recoverable for 30 days.

3 · Nothing’s really gone

Trash recovery review

GarV re-scans your Trash and stars anything it thinks is still important. You review those and mark the ones you agree with as Important — and GarV moves everything starred + important back into your inbox.

Every delete is reversible, and you stay in control: a star is your keep signal, and marking something Important in Trash brings it back. GarV also texts you a twice-daily list of the emails that still need a reply or an action.

Invite-only. Everyone gets GarV for their own email & calendar; an admin grants each person access to specific specialist agents — so sensitive company data (finance, contractors, reporting) stays with the people who should see it.

The Secretary by default — drafts & sends replies in their voice, summarizes their inbox, manages their calendar. An admin adds finance, people-ops, project management, comms, or reporting per person. They can also teach GarV their writing voice, pick its spoken voice, clear an inbox backlog, and connect their own Calendly.

Full access to every agent, plus the portal to add people, grant or revoke each person’s agents, and run any of GarV’s tools on someone’s behalf. The control point for protecting sensitive information.

Yours alone, and safe

Each person is fully isolated — the assistant reads and sends only from your mailbox, and approvals come to your phone.

Every outbound email is gated by your YES from your own phone. Anyone the system doesn’t recognize is ignored.
